Important Notice - 2020 Pacific/Southwest National Service Training Conference
Albuquerque, NM
Due to recent developments surrounding COVID-19 and as advised by the Governor of New Mexico, we have decided to postpone the 2020 Pacific Southwest National Service Training Conference for the health and safety of our attendees, presenters, sponsors, and hosts.
We are postponing the 2020 Pacific Southwest National Service Training Conference to July 27-29, 2020 at the same location in Albuquerque, NM.
Please know that we do not take this decision lightly and understand that this may result in logistical challenges for those who planned to participate. Please carefully review this email for information on your options for moving forward.
Registration Options
For all of our registered attendees we will offer you the following 3 options:
- Maintain your registration for our rescheduled dates. We will automatically transfer all current registrations to the rescheduled dates. If this option works for you, you do not need to take any action related to your registration.
- If the rescheduled dates do not work for you, we will transfer your registration to one of our other events this conference season, as capacity allows. To request transferring your registration to our Milwaukee or Burlington events, please contact us by the registration deadline for each event. Milwaukee’s registration deadline is April 13 and Burlington’s registration deadline is May 5.
- If the rescheduled event dates or our other event locations do not work for you, we will offer a full refund for those who request it by April 17.
Please allow us some time as we respond to requests and changes in the coming weeks.
Lodging Next Steps
Our official hotel partner, DF Meetings & Events, is working closely with ASC to facilitate automatic hotel cancellations made through our official hotel service. If you reserved your hotel room through our official reservation link (through DF Meetings & Events), your reservation will be cancelled automatically and without penalty. There is no need to email or call DF Meetings, the hotel, or your credit card company to cancel your reservation(s). By March 13, 2020, you will receive confirmation of your cancellation. The cancellation will be sent to the email provided at the time the reservation was made. No charges related to hotel room reservations have been incurred by any attendees who booked through our official block, nor will they be. We will be communicating information on re-booking hotel lodging with our updated group blocks for the rescheduled dates in the coming days.
If you booked your hotel room outside of our block, you will need to cancel your hotel on your own.
Rebooking/Airlines
If you were traveling to the event via an airline, we encourage you to contact your airline as soon as possible to rebook/reschedule your flight based on the new event dates of July 27-29. While we believe most airlines are waiving change fees until March 31, in the event a fee is charged this would be an allowable grant cost per the CNCS FAQs.
Presenters and Sponsors We hope all our presenters and sponsors will be able to join us for the rescheduled event, but we understand if that is not possible and we will be reaching out to presenters and sponsors separately in the coming days to discuss options.
Financial Impact
We appreciate your flexibility and patience as we work to navigate this unprecedented public health challenge to our conference plans. We also humbly ask you to recognize the financial implications changing this event has on our organization.
Ways you can help us offset these costs are by: 1) attending the rescheduled event or other regional conference and 2) booking your lodging through our hotel group blocks so we do not fall short of our contracted attrition requirements.
We know this change may impact your organization as well. We encourage you to review the CNCS FAQs related to changes/cancellations in events here: https://www.nationalservice.gov/about-cncs/covid-19.
ASC is a small, but mighty team. Please know we are working behind the scenes as quickly as possible to mitigate the impacts of the situation and communicate with everyone who has submitted questions or requests.
We hope you will still plan to join us for either our rescheduled event in July or one of our other events in Milwaukee or Burlington. We are continuing to monitor the situation for all three events on a case-by-case basis, ensuring we honor public health guidance and state government advisories for each event.
We hope everyone stays safe, healthy, and prepared. Please follow the guidelines issued by public health officials in the coming weeks.
